What is BriteBiz AI?
BriteBiz AI is a suite of intelligent features built into the BriteBiz platform. It helps venues, planners, and event businesses automate tasks, draft messages, analyse data, and speed up everyday workflows. It includes AI-generated content, availability checks and reporting insights.
Do I have to use BriteBiz AI?
No. AI features are optional. You can enable or disable them in your account settings at any time. To enable you must comply with our BriteBiz AI Terms of Service.
Is BriteBiz AI the same as ChatGPT?
Not exactly. BriteBiz uses its own AI engine and also integrates with industry-leading models such as Google Gemini and AWS Bedrock. The experience is customised specifically for weddings, events, and sales workflows.
Does BriteBiz AI replace my staff?
No. BriteBiz AI helps your team work faster, but human review and decision-making are still required. It’s designed to support your business — not run it on its own.
Can AI send emails automatically?
No, BriteBiz AI writes messages and you approve them for sending.
2. Data Protection & Privacy
Is BriteBiz AI GDPR-compliant?
Yes. BriteBiz AI follows strict data protection standards, including GDPR (EU), UK GDPR, and international privacy laws. Data is minimised, encrypted, and never used to train external AI models. These are set out in our BriteBiz AI Terms of Service.
What data is sent to AI providers?
Only the minimum required information is sent (e.g., enquiry details, venue name, availability, or message history). Sensitive data is never intentionally transmitted.
Does BriteBiz AI learn from my data?
No. Data you enter into BriteBiz AI is not used to train Google Gemini, AWS Bedrock, or any base LLM.
Where is my data processed?
Most data is processed within Amazon Webhosting Services (AWS)
AI features may be processed in regions operated by Google or AWS, but all transfers use approved safeguards (e.g., Standard Contractual Clauses).
Can I request that my data is not used with AI?
Yes. You can disable AI features in your settings.
3. Accuracy & Reliability
Is AI output always accurate?
No. Like all AI systems, BriteBiz AI can sometimes be wrong, outdated, or incomplete. You should always verify messages, availability, dates, prices, and event details before sending.
What are “AI hallucinations”?
This is when AI generates information that sounds correct but is actually incorrect or invented. Always review outputs, especially for business-critical communication.
Why did the AI get something wrong?
AI models rely on patterns and probabilities — not perfect knowledge. Misunderstood prompts, missing context, or ambiguous data can lead to mistakes.
Can I trust BriteBiz AI for legal or financial advice?
No. AI output is for guidance only and should not be used as legal, financial, contractual, or professional advice.

How do I write a good prompt?
Try:
Being specific
Providing context (type of event, customer name, desired tone)
Mentioning the outcome you want (“book a tour”, “follow up politely”, etc.)

“Write a friendly follow-up email for Sarah & Mike about their wedding enquiry and suggest two available tour times.”
What if the AI output doesn’t sound like my brand voice?
You can adjust tone settings in your BriteBiz AI preferences — or ask the AI Co-Pilot to rewrite content in your style.
Can I customise the AI?
Yes. You can customise AI settings, including Tone of voice. You can also upload a custom Knowledge base all in AI settings.
5. Pricing & Limits
Do I need to pay extra for BriteBiz AI?
Some AI features are included in your plan. Advanced features may require an AI add-on or higher-tier plan. Full pricing is currently being reviewed.
Are there usage limits?
Yes. Depending on your plan, AI usage may have:
Daily limits
Monthly limits
Fair usage policies
Workflow automation caps
In the future, your dashboard will show your usage status.
6. Troubleshooting & Support
Why is AI not responding?
Possible reasons:
Internet connection issue
Third-party AI provider downtime

Why is the output inconsistent?
AI is probabilistic, meaning results can vary slightly each time. Provide clearer instructions or use templates for consistent output.
Can I disable AI for my whole team?

Who is responsible for AI-generated content?
You are.
