This guide covers how to customize, filter, and manage list views within the platform to better organize your data. You will learn how to create custom views, apply specific filters, and share these views with your team.

What are list views?

List views are the primary way you see your data tables throughout the system. Whether you are looking at customers, invoices, or projects, the list view allows you to see all your records in a grid format. You can use these views to quickly find information, group similar items together, and perform bulk actions on multiple records at once.

πŸ’‘ Action Steps

  • Navigate to a module like Customers or Invoices

  • Locate the grid display of records

How do I switch between existing list views?

To switch between different views, you'll go to the top left of the screen where the current view name is displayed. Click on the dropdown arrow next to the view name to see a list of all available views. You can select standard system views or any custom views you have created previously to instantly change the data you see on your screen.

πŸ’‘ Action Steps

  • Click the dropdown arrow next to the current View Name

  • Select a different view from the list

How do I create a new custom list view?

To create a brand new view, click on the gear icon or the 'New' button located near the top of the list. You will need to give your new view a unique name that describes what it represents. Once named, you can save it and then start adding specific columns and filters to make the data more relevant to your specific workflow.

πŸ’‘ Action Steps

  • Click the New or Gear icon

  • Enter a name for the new view

  • Save the view

How do I add or remove columns in a list view?

If you want to change which fields are visible, click on the 'Select Fields to Display' or 'Columns' button. From here, you can move fields from the Available list to the Visible list. You can also reorder them by dragging them up or down so that the most important information appears on the left side of your screen.

πŸ’‘ Action Steps

  • Click Select Fields to Display

  • Move fields between Available and Visible lists

  • Reorder fields using the arrow keys or drag-and-drop

How do I apply filters to my list view?

Filtering allows you to drill down into specific data. Click on the filter icon to open the filter pane. Choose the field you want to filter by, select an operator like 'equals' or 'contains', and then enter the value you are looking for. You can add multiple filter logic statements if you want to narrow your results down even further.

πŸ’‘ Action Steps

  • Click the Filter icon

  • Select a field to filter by

  • Choose a filter operator

  • Enter the criteria value

How do I sort data within a list?

Sorting your data is as simple as clicking on the column header. Clicking once will sort the list in ascending order based on that column, and clicking a second time will sort it in descending order. You will see a small arrow next to the column name indicating which way the data is currently being sorted.

πŸ’‘ Action Steps

  • Click a column header to sort ascending

  • Click the column header again to sort descending

How do I pin a default list view?

If there is a view you use every single day, you can pin it so it becomes your default view every time you open that module. Navigate to the view you prefer and then click the pin icon next to the view name. Now, instead of defaulting to the standard system view, the system will automatically load your pinned view first.

πŸ’‘ Action Steps

  • Select your preferred view

  • Click the Pin icon

How do I share a list view with other users?

By default, new views are private to you. If you want your team to see the same data, go to the sharing settings within the list view menu. You can choose to share the view with all users or specific roles and groups. This ensures that everyone is looking at the same filtered set of information for consistency.

πŸ’‘ Action Steps

  • Open View Settings

• Select sharing options

  • Choose users or roles to share with

  • Save sharing permissions

How do I search within a list view?

If you need to find a specific record quickly, use the search bar located at the top right of the list. Type in the keyword or number you are looking for and press enter. The system will scan the visible columns in your current view to find matches and update the list results in real time.

πŸ’‘ Action Steps

  • Locate the Search bar

  • Type in your search terms

  • Press Enter to refresh the list

How do I edit or delete a custom view?

If you no longer need a custom view or need to rename it, go back to the view controls and select Edit or Delete. Note that you can only delete views that you have created. When editing, you can change the name, visibility settings, or filter criteria to update the view for future use.

πŸ’‘ Action Steps

  • Select the custom view

  • Click the Gear or Edit icon

  • Choose Edit or Delete
