Import Invoices
Click on the import invoice button, add invoice number. BriteBiz does a lookup on email address to make sure they match. All line items on the invoice become products on the booking.
If importing an invoice doesn't look good to the customer (doesn't contain information that they usually show to the customer), then build out the products you want in BriteBiz and add a negatively priced product to the value of the payments on the invoice. Note - you shouldn't record the payments again, as this will affect the Xero balance.
Accounting For Payment Already In Zero
Add a negative product as per the video above.
Onboarding Scenarios
Scenario 1 - New Xero User / New BriteBiz User
Set up your account as per the articles in this section. The main rule is to get Xero connected before adding product/payment details to a booking.
If products and payments are added to bookings before connecting Xero, it will double the onboarding time, as in the majority of cases, payments will need to be re-entered.
Setting The Opening Date
Your accountant should pick the appropriate start date, which is the date when Xero's opening balance is set.
Payments received before this date may be recorded in Xero and manually marked as reconciled (Recommended). Ideally, this is done prior to the opening balance being set.
If this doesn't work for your accountant, payments should be recorded as negatively priced products.
Scenario 2 - Planning to move to Xero in 6-12 months / New BriteBiz User
If possible, they shouldn't use Products/Payments in BriteBiz until you start using the new Xero account.
If you choose to use Products and Payments in BriteBiz before moving to the new accounting platform, it will double up the work as invoices and payments will need to be re-recorded, and we advise against this. Best to start using an accounting platform at the same time as going live.
