How Do I Sync Invoices & Payments to Xero?

BriteBiz has a powerful Two-Way accounting integration with Xero.

The rule is -

  • Create your invoices and payments in BriteBiz,

  • Reconcile payment in Xero.

It's a super-powerful feature that keeps all of your financials in sync, and it is really easy to use. This article is broken into three parts.

  1. Creating invoices & payments in BriteBiz.

  2. Reconciling invoices & payments in Xero.

  3. Updating invoices in BriteBiz.

1. Creating Invoices & Payments In BriteBiz

Once your Xero accounting integration is set up, every time you create an invoice or payment in BriteBiz, a matching invoice or payment will be created in Xero (Setup Integration CLICK HERE). To view the invoice or payment in Xero, just click on the Xero icon on the top right-hand corner of the invoice or payment in BriteBiz, as per the images below.

Important: Creating An Invoice or Payment in BriteBiz - Is Updated Immediately in Xero - So when an invoice or payment is created in BriteBiz, it is immediately created in Xero.

What is the red exclamation mark "!" beside a payment or invoice?

The red exclamation mark means that the payment has not yet been reconciled in Xero.

2. Reconciling invoices & payments in Xero.

You should reconcile the payments and invoices in Xero as you do with any other transactions in Xero.

Important: Reconciliations in Xero Updated Overnight in BriteBiz

When you reconcile an invoice or payment in Xero, this will be updated in BriteBiz overnight. If you want to update the invoice and payment in BriteBiz immediately after doing your reconciliation, you should do the following.

  • Go to the Payments tab.

  • Click on received.

  • Choose the non reconciled or reconciled tab - you can now choose to manually do a Xero update of payments before the next system update.

  • Hover over the Xero icon on the right - This will tell you the last time a Xero update was run and who ran it.

  • If you want to run a manual update, just click on the Xero icon and all the most recent reconciliation details will be updated in BriteBiz.

3. Updating Invoices in BriteBiz

You may need to update your invoices in Xero, You can do this as there is a live two-way integration between BriteBiz and Xero.

Once you have made your edits to the invoice, you should click on the manual sync button.

NOTE - If you have added payments to an invoice, Xero will not allow you to edit that invoice. You need to do the following;

  1. Remove the payments from the invoice in Xero.

  2. Click the sync button in BriteBiz.

  3. Then edit the invoice and press the sync button.

  4. Re-allocate the payments to the invoice in Xero.
