When working on a Worksheet, you save your ongoing edits by clicking the Update button at the end of the Worksheet.

You also have the option of saving "Revisions" as you go along if you want to archive a particular version of a Worksheet. Also, when clients submit worksheet information through the client portal, they automatically create a "Revision" - so you know exactly what the Worksheet was like before they submitted information.

Learn how to manage and track changes within your worksheets using the revision history tools. This guide covers how to view, compare, and restore previous versions of your work.

What is the Worksheet Revisions feature?

Worksheet Revisions allow you to keep track of every change made to your document over time. Instead of saving multiple versions of the same file, you can use this built-in tool to see who made changes and when those changes occurred, providing a complete audit trail for your project.

πŸ’‘ Action Steps

  • Locate the Revisions icon in the sidebar

  • Open the Revision History panel

How do I view the revision history?

To see a list of all changes, click on the Revisions tab in the right-hand panel. You will see a chronological list of saved versions, each stamped with the date, time, and the name of the user who performed the update. This makes it easy to identify specifically when a major change was implemented.

πŸ’‘ Action Steps

  • Click the Revisions tab

  • Scroll through the chronological list of entries

  • Identify the timestamp and user associated with each version

How can I compare different versions?

When you want to see exactly what changed between two points in time, select a previous version from the list. The system will highlight the differences, showing you which cells were modified, what data was added, and what was removed relative to the current live version of the worksheet.

πŸ’‘ Action Steps

  • Select a specific version from the list

  • Review the highlighted cell changes

  • Compare deleted or added data against the current view

How do I restore a previous worksheet version?

If you need to revert to an older state, you can simply select the desired version from the history and click the 'Restore' button. This will overwrite the current worksheet with the data from that previous point in time. It is a safe way to undo major errors without having to manually re-enter data.

πŸ’‘ Action Steps

  • Highlight the version you want to revert to

  • Click the Restore button

  • Confirm the restoration in the pop-up dialogue

Can I name specific revisions for easier tracking?

You can add custom names to specific versions to make them easier to find later. Instead of just looking at timestamps, you can name a version 'Pre-Final Review' or 'Original Upload.' To do this, click the options menu next to a revision entry and select 'Name this version' to type in your custom label.

πŸ’‘ Action Steps

  • Click the three-dot menu next to a revision entry

  • Select Name this version

  • Type your custom label and press Enter

How do I export a specific revision?

If you don't want to restore a version but just want a copy of it, you can export a historical revision as a separate file. This allows you to keep the current version active while also having an offline Excel or CSV copy of how the data looked at a specific moment in the past.

πŸ’‘ Action Steps

  • Select the historical version from the list

  • Click the Export button

  • Choose your preferred file format
