I have created a duplicate Company or Contact in error.
I have created a duplicate Company or Contact in error.

If you have created two Company names - for the one company, or two Contact names, for one person, this article tells you what to do.

Sometimes it can be easy to create duplicate company or contact names.

DELETING DUPLICATE COMPANIES

Let's say you create the following two company names.

Joe Bloggs

Joe Bloggs Limited

and you have created inquiry, contact, and booking records for each one, what you need to do is as follows;

  1. Decide which record you want to delete - let's say you want to delete "Joe Bloggs" and assign all inquiries, contacts, and bookings to "Joe Bloggs Limited". TIP - Choose the Company with the least amount of associated records and rename the remaining Company as needed.

  2. Reassign Contacts - You should first go into any "Contacts" stored in "Joe Bloggs" and click edit and reassign the contact to "Joe Bloggs LLC" instead. This will reassign also reassign all inquiries and bookings relating to that contact to "Joe Bloggs Limited".

  3. If you have added the Company directly to an Inquiry or Booking, open each inquiry and booking, and remove the Company from the Inquiry/Booking (click the X next to the Company Name), add the Company that you are keeping using the lookup and Save.

Once you have reassigned all the contacts from the company "Joe Bloggs" to "Joe Bloggs Limited" you will be able to delete the company "Joe Bloggs".

Note - The system will not allow you to delete any Company while there are contacts, inquiries and bookings assigned to it.

DELETING DUPLICATE CONTACTS

Let's say you create the following two contact names.

Lilly Williams

Lilly-May Williams

and you have created inquiry and booking records for each one, what you need to do is as follows;

  1. Decide which record name you want to delete - let's say you want to delete "Lilly Williams" and assign all inquiries, and bookings to "Lilly-Mae Williams".

    TIP - Choose the Contact with the least amount of associated records and rename the remaining Contact as needed.

  2. Reassign inquiries and bookings - You should first go into the contact and click on inquiries and bookings, and reassign. See the inquiry below as an example. Click the X to remove "Lilly Williams", change to "Lily-May Williams" using the lookup, and Save.

Once you have reassigned all the inquiries and bookings from "Lily Williams" to "Lilly-May Williams" you will be able to delete the contact "Lilly Williams".

Note - The system will not allow you to delete any Contacts while there are inquiries and bookings assigned to it.
