How to Mass Delete Records

It is easy to mass delete data from the system. This article will show you how.

NOTE - When you mass delete records, you cannot recover it. Mass deleting is a request by you to delete the records from your system permanently.

The first step to Mass Deleting is to turn on the permission for mass deleting. You may or may not have access to this setting depending on how your account is set up. Go to Settings, Account Settings, Permissions - and then the permission level you want to allow to mass delete.

You will find this in the "Other" section at the end. Turn this to Yes.

Then in any list view, you should tick the records you want to delete. Use the box at the top to tick multiple records or individually choose records.

Then click on the Green Box and then choose Delete (trash can).

This will delete all the records you have selected. Note, you need to work backwards if you are deleting lots of records or clearing out the account (backwards meaning delete inquiries/bookings first, then companies/contacts).

Rules

  1. You cannot delete a Company or Contact if there is an inquiry or booking associated with the Company or Contact. You must first reassign the inquiry or booking.

  2. You cannot delete a booking if there is an invoice or payment assigned to the booking. You will need to remove them first.

    Please note: If you have an accounting integration (Quickbooks, Xero etc.), deleting an invoice or payment may also delete this record in your accounting platform. If you don't want to delete the invoice or payment from your accounting platform, please disconnect the accounting integration first.

  3. BEST PRACTICE - If you are deleting a large volume of data, maybe clearing out an account after a trial, delete inquiries first, then bookings, then contacts then companies.

  4. BEST PRACTICE - When you have finished using the Mass Delete button, you should turn it off to avoid you or any member of your team accidentally deleting records.
