Beside every booking date field is a Date Check which does a lookup of all inquiries, tentative bookings and confirmed bookings that are currently held for the same date.

Check Date Settings

Go to Settings - Account Settings - Modules - Booking Date Check

1) Do no check

** Choose this option to turn the feature off.

2) Check date and allow MORE THAN ONE booking at a time

** Choose this option to allow multiple bookings at the same time.

3) Check date and allow ONLY ONE booking at a time

** Choose this option if you want only one booking at any time. If you choose this option you should also check your conflicts (see video).

This video explores how to utilize the Date Check feature to ensure your project timelines and milestones are accurate. You will learn how to identify date discrepancies and resolve scheduling conflicts within the system.

What is the Date Check feature?

The Date Check is a built-in validation tool designed to help you maintain the integrity of your project schedules. It automatically reviews your start and end dates across various tasks and milestones to ensure there are no logical errors or overlapping conflicts that could disrupt your project timeline.

πŸ’‘ Action Steps

  • Locate the Date Check tool in the project header

  • Identify the status icons indicating date health

How do I run a manual Date Check?

To trigger a manual validation, you can click on the Refresh or Check Dates button located within your project settings menu. This will prompt the system to scan all entries, including sub-tasks and linked dependencies, to verify that every date aligns with the overall project duration.

πŸ’‘ Action Steps

  • Click on the Settings menu

  • Select the Check Dates option

  • Wait for the validation bar to complete the scan

How do I interpret date error warnings?

When the system identifies a problem, you will see a red or amber warning flag next to the specific task. Red flags typically mean that a child task ends after a parent task, while amber flags suggest that a dependency logic has been broken, such as a task starting before its prerequisite has finished.

πŸ’‘ Action Steps

  • Hover over the red warning flag to see the error details

  • Review the amber flags for dependency logic issues

How can I fix a date mismatch?

If you find a mismatch, you can click directly on the date field within the task list to open the calendar picker. Adjust the date to fall within the allowed range, or use the 'Auto-fix' suggestion if available, which will shift the task to the earliest possible valid start date based on your constraints.

πŸ’‘ Action Steps

  • Click the Task Date field

  • Select a new date from the calendar picker

  • Click the Auto-fix button to resolve logic errors automatically

What happens if a milestone date is invalid?

Milestones are critical checkpoints, so if a milestone date conflicts with the underlying tasks, the Date Check tool will highlight the entire milestone row. You must ensure that the milestone date is set to a point in time that is on or after the completion of all associated tasks assigned to that phase.

πŸ’‘ Action Steps

  • Check the milestone row for highlighting

  • Verify task completion dates against the milestone target

How do I resolve 'Task Outside Project Range' errors?

If a task falls outside the global project start or end date, you will receive a specific range error. You need to either expand the project's overall duration in the Project Header or move the individual task back within the existing project boundaries to clear this notification.

πŸ’‘ Action Steps

  • Open the Project Header

  • Adjust the Project Start or End date

  • Drag and drop the task on the timeline to move it within range

Can I ignore certain date warnings?

In some cases, you may have a valid reason for a date overlap. You can choose to dismiss or ignore a warning by right-clicking the error flag and selecting 'Acknowledge Warning'. This will keep the date as it is but will turn the flag gray to show that the discrepancy has been reviewed and accepted.

πŸ’‘ Action Steps

  • Right-click on the error flag

  • Select Acknowledge Warning from the context menu

How do I save my changes after a Date Check?

Once you have resolved all the conflicts and the flags have disappeared, you must click the Save or Update Project button at the bottom of the screen. This commits the corrected dates to the database and updates the timeline view for all other team members working on the project.

πŸ’‘ Action Steps

  • Look for the green 'No Conflicts' message

  • Click the Save button to commit changes
