Do I need to integrate my email account to be able to use the system?

The short answer is no - you are not required to integrate an email account.

We offer an amazing two way integration with the two main Cloud Email Services, Google Business (Gmail) and Office365. After you integrate these services, when you send emails in the system, your emails are delivered directly through your Google or Office365 accounts. A copy is held in the system AND in your Sent folder in Google or Office365. Your emails are delivered with your unique company URL, the exact same as if you were sending them directly from Gmail or Office365.

I Don't Use Google Business or Office365 - What Are My Options?

You are not required to use an email integration. If you do not use an email integration, you can still send emails from any part of the system (email templates, payment reminders, proposals and contracts etc). However, emails will be sent using the system URL, NOT your business URL. We refer to these as system generated emails.

What Do System Generated Emails Look Like?

A system generated email would look like the following;

When somebody hit's "Reply" to this email, the "Reply to" address on the email will be the users personal email address that they added to the system (which might be an old server based Microsoft Exchange service etc). So all replies will go directly to the person who sent them.

If you use an email integration with Office365 or Google Business, the emails you send through the system look exactly the same as as email you send from your own Gmail or Office365 account. For example; Joe@mybusinessname.com, Again, the reply goes directly to the person who send the email.

Disadvantages Of Not Integrating Email (Using System Generated Emails)

Because the system emails are not being delivered from a unique business name domain/URL, the delivery rate can be much lower (ie a higher chance that the email will end up in Spam or Socials/Promotions Folders). We do not guarantee a delivery rate on System Generated Emails for this reason.

When your emails are not integrated, you also do not get the opportunity to view all emails in the system in one place (all emails received from the client, and sent to the client - for all staff members).

** NOTE: You do have the option of using the system to manage your Sales Pipeline, for your Event Management, payments, integrate into accounts etc etc and manage your emails outside the system.

Are Systems Like Google Business or Office365 Expensive

Businesses globally are moving to cloud based services and away from local server based systems. You should consult with your IT Adviser about moving to a cloud based service. At the time of writing, both Office365 and Google Business Starter packages were roughly $5 per user per month (so around $60 a year). Most business make significant savings moving away from expensive on-site servers.
