RULE 1 - One Email Address To One User

Firstly, you can only integrate an email address to one user (a Google/Office 365 restriction). If you try to integrate the same email address to a second user, it will disconnect the first user! More information HERE .

RULE 2 - Create A Brite User Account And Email Address For Every Person/Email Address

We are often asked what to do if a venue/company has, lets say 5 staff. Three staff have direct email addresses, lets say John@, Emma@ and Emily@ and all five staff members use the info@ and events@ email accounts (so two staff members, Joe and Brittany do not have their own specific direct Gmail/Office 365 email). We recommend that you set up the following Brite Users and Email Accounts.

John@ - Email Account & Brite Account

Emma@ - Email Account & Brite Account

Emily@ - Email Account & Brite Account

Joe@ - Email Account & Brite Account * A new Gmail/Office 365 Account Needed

Brittany@ - Email Account & Brite Account * A new Gmail/Office 365 Account Needed

Info@ - Email Account & Brite Account

Events@ - Email Account & Brite Account

This means that all client emails will get pulled into Brite regardless of how they are sent or received. Also, every staff member will be able to send emails from Brite using info@ or events@.

NEXT STEPS

In Google/Office 365, each user should add the info@ and/or events@ as email alias's.

For Gmail Users - After you have set up the alias's, then do the integration with BV and the alias's will show up in Brite.

For Office365 Users - Send the alias details to our support team and they will add them to Brite.

Set your default email in Brite, so perhaps events@. So emails sent from Brite will be fully branded for events@ and emails will be returned to the events@ Gmail or Office365 inbox etc.

RULE 3 - Personal Emails

We always recommend that you never use personal email addresses for employees, it's best in the long term. If an employee leaves, the company should retain all ownership of emails.
